Terms and Conditions for Grounded Growth
By engaging in services provided by Grounded Growth, you acknowledge and accept the following terms and conditions, which outline your rights and responsibilities as a client, and the policies governing the services we provide. These terms apply to all services, including but not limited to one-on-one coaching, nature walks, virtual sessions, workshops, and any other offerings provided by Grounded Growth.
1. Payment Terms
Payment Methods: All payments for services must be made in advance of the scheduled session, unless otherwise agreed upon in writing by Grounded Growth. Accepted methods of payment include bank transfer, credit card, PayPal, or other specified payment platforms.
Pricing: The prices for individual sessions, packages, and subscriptions are outlined on the Grounded Growth website or discussed prior to booking. Any changes to the pricing structure will be communicated in advance.
Late Payments: If payment is not received at the time of booking or within the agreed-upon period, services will be suspended until payment is made in full. A reminder will be sent before the session, and if payment is not processed by the session date, the session will be cancelled.
2. Cancellation and Rescheduling Policy
Client Cancellations: If a client needs to cancel or reschedule a session, a minimum of 24 hours' notice must be provided via email, phone, or other communication methods.
Late Cancellations or No-Shows: If cancellation occurs within 24 hours of the session, or if the client does not attend the scheduled session without prior notice, the client will incur a 50% charge of the session fee. If no notice is provided and the client does not attend, the full session fee will be due.
Grounded Growth Cancellations: In the rare event that Grounded Growth needs to cancel a session due to illness, emergency, or other unforeseen circumstances, clients will be notified as soon as possible, and a rescheduled session or full refund will be offered.
Rescheduling: Clients may reschedule their session at no extra charge if done with more than 24 hours' notice. Rescheduling requests made within 24 hours of the session will be subject to the late cancellation fee, as outlined above.
3. Termination of Session
Client Behavior: Grounded Growth reserves the right to terminate any session immediately if the client engages in disruptive, inappropriate, or abusive behaviour, including verbal abuse, physical aggression, or refusal to follow session guidelines.
No Refund: In cases where a session is terminated due to the client’s behaviour, no refund will be issued, and the full session fee will be charged. Grounded Growth is committed to providing a safe and respectful environment for all clients, and unacceptable conduct will not be tolerated.
Grounded Growth’s Right to Terminate: Grounded Growth may also terminate services if, in its sole discretion, it is determined that the client’s needs are beyond the scope of the services provided, or if a therapeutic or coaching relationship is not progressing. In such cases, the client will be provided with resources or recommendations for alternative services, and any remaining unused sessions will be refunded.
4. Refund Policy
Refund Eligibility: Refunds will only be provided if a session or package is cancelled by Grounded Growth or if services cannot be rendered as initially agreed upon. If a client requests a refund for services not rendered, a full refund will be processed.
No Refunds for Completed Sessions: No refunds will be issued for sessions that have already been completed, regardless of client satisfaction or unforeseen personal circumstances.
Pro-Rated Refunds for Packages: For clients purchasing a package of sessions, if the package is cancelled before all sessions have been used, a refund will be provided on a pro-rated basis, taking into account the number of sessions used.
Refund Processing: Any eligible refunds will be processed through the original payment method within 7-10 business days.
5. Confidentiality
Client Confidentiality: All information shared by the client during sessions, whether verbal or written, will be kept confidential, except when required by law or when there is a risk of harm to the client or others.
Limits to Confidentiality: Grounded Growth may disclose information if it is required by law, or if there is a reasonable belief that the client poses a risk of harm to themselves or others. In these cases, confidentiality will be breached only to the extent necessary to protect the safety of the client or others.
Confidentiality of Virtual Sessions: Grounded Growth will take reasonable precautions to ensure the confidentiality of virtual sessions. Clients are advised to conduct virtual sessions in a private, secure space to avoid interruptions or breaches of confidentiality.
6. Liability
Personal Injury and Property Loss: Grounded Growth is not responsible for any personal injury, loss of property, or damage that may occur during in-person sessions, activities, or workshops. Clients are advised to participate in activities with caution and ensure they are physically capable of doing so.
Virtual Sessions: While reasonable precautions are taken to ensure secure platforms for virtual sessions, Grounded Growth is not liable for any technical issues that may arise from external platforms or services, such as Zoom, Teams, or WhatsApp.
Limitation of Liability: Grounded Growth’s liability for any claim arising out of the provision of services is limited to the amount paid by the client for the specific session in question.
7. Client Responsibilities
Preparation: Clients are expected to attend scheduled sessions on time, prepared to engage with the service.
Health and Wellness: Clients must inform Grounded Growth of any physical limitations, health concerns, or relevant personal information that may affect participation in services, especially for in-person activities such as nature walks or workshops. This will ensure that appropriate accommodations or adjustments can be made.
Responsibility for Environment: For virtual sessions, clients are responsible for ensuring a quiet, distraction-free environment, and for having a reliable internet connection and working devices.
Engagement: Clients are expected to actively participate in their sessions and complete any homework or activities recommended by the facilitator. Failure to do so may impact the progress of the coaching or therapy process.
8. Service Modifications and Adjustments
Changes to Services: Grounded Growth reserves the right to modify, amend, or discontinue any services at its discretion. Clients will be notified of any significant changes to services or terms, and reasonable adjustments will be made for clients who are affected by these changes.
Temporary Suspension: Grounded Growth may temporarily suspend services in the case of illness, personal emergency, or other unforeseen circumstances, with prior notice provided to clients.
Service Adjustments for Accessibility: If a client requires special accommodations or adjustments to the service (such as for mobility, sensory, or other needs), these should be communicated at the time of booking to ensure we can provide the appropriate environment and support.
9. Acceptance of Terms
Binding Agreement: By engaging in services provided by Grounded Growth, whether in person or virtually, you agree to be bound by these terms and conditions.
Changes to Terms: These terms and conditions may be updated periodically, and such updates will be communicated to clients via email or website notifications. Continued engagement with services after any changes to the terms constitutes your acceptance of the revised terms.
If You Do Not Agree: If you do not agree with any part of these terms, you must refrain from engaging in services provided by Grounded Growth. If services have already been booked, you may cancel them in accordance with the cancellation policy.
These terms and conditions are effective as of 01/02/2025 and are subject to change without notice. Clients are encouraged to review these terms regularly. By engaging in services, you are acknowledging that you have read, understood, and agreed to these terms.
